Academic Personnel Overview
The Academic Personnel Coordinator assists faculty with merits and promotions, leaves of absence, and sabbaticals. In addition, the Academic Personnel Coordinator assists with these titles: Lecturers, Postdoctoral Scholars, Visiting Scholars, Researchers, and without salary appointments. The cluster staff also works with SISS to help obtain the appropriate visa for candidates who may require one. - Leave of Absence (7 days or less)

Faculty who plan to be off campus between one to seven calendar days for University business-related purposes, including attending professional meetings and conferences, require a special leave of absence form submitted before travel occurs. Those faculty receiving summer ninth compensation must also comply while on summer pay status. Please use the following LINK to submit the 7 days or less leave form; forms must be submitted at least 30 days prior to the travel date.

Pregnancy Leave and Family Care and Bonding

Per APM 760, UC Davis offers up to one quarter/semester of paid leave for those eligible academic appointees who gives birth and up to one quarter/semester of paid leave for the primary parent in the case of placement for adoption or foster care.
In addition, UC Davis supports academic appointees needing time off to care for a family member or to bond with a new child. The Pay for Family Care and Bonding (PFCB) program provides eligible appointees with paid leave while on an approved Family and Medical Leave (FML) or leave under the California Family Rights Act (CFRA). Beginning January 1, 2023, PFCB provides income replacement of 100% of eligible earnings for up to eight (8) workweeks each calendar year.
Active Service Modified Duties is not a leave, but a period during which normal duties are reduced so that an academic appointee may prepare for and/or care for a newborn child or a child under age five newly placed for adoption or foster care.

Post Doctoral Scholars

You are not required to post a job opening for postdocs. You are free to search for a candidate on your own--once you've found someone, the Personnel team can start the hiring process. Appointments should be for at least 1 year at 100%. Please notify Angus Chang at least 3 months before the anticipated start date (6 months if a visa is required) if you're interested in hiring a postdoctoral scholar. Angus can provide you with a template department letter. Please note that Graduate Studies must approve the letter, and the candidate must complete all onboarding paperwork with HR before they can begin working.

Visiting Scholars

Please notify Angus Chang by email at least 90 days before the arrival of the Visiting Scholar so that the SISS Department has sufficient time to process the J-1 visa request. Angus will need the following information to issue the scholar an invitation letter:
• Scholar's CV
• Appointment start and end dates
• Account Number (if assistance is needed to select an account number, please get in touch with the Orange Cluster's Business Office staff)
Angus will oversee the scholar's onboarding to Kerr Hall, including processing a Temporary Affiliate Form, assigning a shared office space, and obtaining an AggieCard for library services.
If you sponsor a visiting scholar who does not require a UC Davis-sponsored visa and will be on campus for more than 10 days, you must register the scholar as a Visiting Academic Collaborator. More information is below. -
Visiting Academic Collaborators

The Visiting Academic Collaborators Policy, outlined in the UC Davis Policy and Procedure Manual 380-09, applies when hosting domestic and international visitors not sponsored for a visa by UC Davis who will conduct research on campus for more than 10 days (not including weekends or campus holidays).
Under the policy, a Visiting Academic Collaborator must have a Sponsor—a UC Davis employee who invites the collaborator to UC Davis. The Sponsor and the Visiting Academic Collaborator must provide the required information to SISS before the collaborator arrives at a UC Davis facility. Visiting Academic Collaborators will usually have a visa sponsored by another U.S. institution, a B-1 business visitor visa, or be granted U.S. entry as a business visitor under the Visa Waiver Program.
Faculty must inform Angus Chang at least 90 days before the planned arrival for international visitors; information on domestic visitors is required at least 15 days before the planned arrival.

Annual Certification Report of Professional Outside Activities

Faculty are considered in compliance with APM 025 and APM 671 when:
• receiving prior approval before engaging in Category I outside professional activities,
• receiving prior approval for engaging students in any outside professional activities category,
• complying with time limits, and
• accurately disclosing all activities, including completing and submitting an annual certification, even if they do not engage in outside activities.
