Visiting Scholars Support

Information for Current Visiting Scholars/Academic Collaborators

After securing a Visiting Scholar or Academic Collaborator appointment, the following steps should be completed to onboard you to the UC Davis campus:

  • STEP 1: Complete the Temporary Affiliate Form
  • Angus Chang, the Orange Cluster’s Academic Personnel Coordinator, will initiate the TAF process and send you a link to the application form.  Once you have reviewed and completed your portion of the form, the TAF will be submitted for review and approval.   

    Once approved, you will receive affiliate status at UC Davis. This status provides access to the UC Davis network, a @ucdavis.edu email address, and a unique username and password, which is used to verify identity and enable subsequent access privileges such as internet access, library book rentals, and much more.
  • STEP 2: Obtain an Aggie ID Card 
  • To complete the “Visitor Aggie Card Request Form,” you will need to email the following information to employeeid@ucdavis.edu:  
     - A professional photo in a (.jpeg file) format. The photo should be taken in front of a white or off-white background.
    Your UC Path employee ID number. (This 8-digit number will be provided once your TAF form is processed.)
    Your full legal name or lived name. (see information about lived names here: https://lgbtqia.ucdavis.edu/updating-lived-name-it).
    Your department name.
    Your department’s campus mailing address:
    UC Davis/Orange Cluster Administration

    Your supervisor’s name: please list your Faculty sponsor.
  • STEP 3: Register for UC Davis Library access
  • You must apply for library access in person at the Shields Library.  When registering, you will be asked to provide a valid government-issued photo ID and verification of status or payment (cash or check only). Renewal of library privileges may be requested in person, by email, or by phone. Note that campus affiliates can borrow up to 10 library items for free.  

    The Shields Library VPN is needed to access library online materials off campus.  More information on how to access the VPN is available online at: https://library.ucdavis.edu/vpn/

Frequency Asked Questions

  • Will I be assigned an office space?
  • Most departments in the Orange Cluster provide shared office space to their visiting scholars and academic collaborators. If you are assigned office space, our Academic Personnel Coordinator will provide further details. Once you have received your assignment, Angus will provide instructions on accessing your office. 
  • Does UC Davis provide housing?
  • The department does not provide housing allotments; however, the Services for International Students and Scholars (SISS) provides information and resources to help navigate housing, including short-term options and securing furniture.
  • Does UC Davis provide health insurance coverage?
  • It is your responsibility to secure health insurance coverage before arriving on campus. For more information, please visit the Services for International Students and Scholars (SISS) website.
  • How can I make photocopies?
  • If you require printing/photocopying services during your time on campus, you will need to purchase a Repro Graphics card. Repro Graphics cards can be purchased from a vending machine at any UC Davis library location:
    - Shields Library: First Level, to the left of the entrance, near New Books
    - Blaisdell Medical Library: Near the multifunction devices, located next to the stacks

    Repro Graphics cards may be purchased with cash only; no credit cards or coins are accepted. Change is not given. Follow the directions on the front of the vending machines carefully to ensure the total amount paid is credited to the copy card. Note that $.50 of the initial purchase price is deducted from the card. Additional value may be added to Repro Graphics cards at any vending machines that dispense copy cards.  Follow the directions on the front of the vending machines carefully.
  • Where can I purchase a parking permit?
  • Parking permits can be purchased online or in person; please refer to the link: http://taps.ucdavis.edu/parking/permits for more information. 
  • Where can I find a UC Davis campus map?
  • Please refer to the link https://campusmap.ucdavis.edu/ to obtain a copy of the campus map.
